Talent Profile Cleanup
Review what Talent cleanup changes, choose scheduled or immediate cleanup, and understand what will be kept.
Overview
Talent Profile Cleanup permanently removes or minimizes a Talent's profile data after representation has ended. Use it only after the Talent has been archived and your agency has reviewed everything that must be kept.
Cleanup is different from archiving:
- Archive is reversible. It removes the talent from active workflows while preserving their profile and history.
- Cleanup cannot be undone after it completes. It removes profile information and handles Portfolios, Media, Documents, and Showmo items according to the choices shown in the Cleanup Review.
Before You Start Cleanup
Start a Cleanup Review only when:
- The Talent is no longer represented by your agency
- The profile should remain archived while cleanup is reviewed or scheduled
- Your team has reviewed any open bookings, packages, invoices, or legal recordkeeping needs
- Your team is ready to decide which Media and Document connections should be kept
If you only need to hide a Talent from active work, use Archive and do not start cleanup.
Open The Cleanup Review
Choose Schedule Cleanup from an archived Talent's action menu, then confirm that you want to open the Cleanup Review. Opening the review does not schedule or start cleanup.
The review shows six sections:

| Portfolios | Talent Portfolios that cleanup will delete |
| Media | Media that will be deleted and Media that can be moved to a System Portfolio |
| Showmo | Saved Showmo items that will be deleted and any active jobs that must be resolved |
| Documents | Documents that will be deleted, kept, or disconnected from the Talent |
| Final Review | Totals, cleanup timing, the required reason, and confirmation |
The current review must be completed before cleanup can be scheduled or started.
Review Your Choices
NowRep prepares safe choices for every item:
- Talent Portfolios and the Media still inside them will be deleted during cleanup.
- Regular Media that is available to move can be placed in a System Portfolio if your agency wants to keep it.
- Showmo Media connected to the Talent will still be deleted, even if it was moved previously.
- Documents used only by the Talent will be deleted.
- For Documents used elsewhere, your agency can remove this Talent's connection or keep the Document connected.
- Documents and business records required by agency policy will be kept.
Some Portfolios and Media can also be deleted directly from the review. Those deletions happen immediately and are not restored if the later cleanup request is cancelled.
Schedule Cleanup
From Final Review, choose Schedule Cleanup to start the standard 30-day waiting period.
After scheduling:
- The Talent remains archived.
- Items included in cleanup are locked so they cannot be edited, moved, copied, connected, or newly published while waiting.
- Cleanup runs automatically after the scheduled date unless an Owner or Admin cancels it.
- Cancelling makes items still waiting for cleanup available again, but it does not undo changes already completed during the review.
Complete Cleanup Now
From Final Review, an Owner or Admin can instead choose Complete Cleanup Now. Cleanup starts as soon as the required reason and typed confirmation are submitted.
Use this option only when your agency is certain the profile should be cleaned without the 30-day waiting period. Completed cleanup cannot be undone.
What Cleanup Removes
Cleanup removes or minimizes profile-related data, including:
- Talent profile and contact information
- Guardian information
- Notes and profile-specific attributes
- Management and external agency links
- Talent-owned Portfolios and their remaining Media
- Saved Talent Showmo items
- Documents used only by the Talent
- The Talent's profile image
Documents used elsewhere follow the connection choice made in the Cleanup Review.
What Cleanup Retains
Some records remain because your agency or NowRep must keep them:
- A minimal Talent record remains so historical business records continue to work.
- Sent invoices, financial records, required Package records, and other records needed for tax, legal, or agency policy reasons are kept.
- Media moved to a System Portfolio before cleanup is kept, unless it is Showmo Media connected to the Talent.
- Documents marked Keep Connected or required by policy are kept.
- The cleanup history records when cleanup happened without restoring deleted profile information.
After Cleanup Completes
After cleanup completes, the Talent is no longer available as a normal profile. A minimal background record remains only so historical business records continue to work.
NowRep removes the selected files as part of cleanup. If a temporary file-removal problem occurs, NowRep retries it automatically. This does not restore the Talent profile.
