Managing Media
Add Media through a Portfolio, move or copy items intentionally, and review impact before deletion.
Use the Media Library to find and maintain images and videos across your account. Every Media item belongs to exactly one Portfolio.
Add Media
People with upload access can start from the Media Library:
- Open Media, then choose Media Library
- Select Add Media
- Choose To New Portfolio or To Existing Portfolio
- Choose Upload Media or Embed Video
- Complete the Portfolio and Media details, then confirm
Creating a Portfolio as part of this flow is atomic: NowRep does not keep an empty accidental Portfolio when Media admission fails. You can still create an intentional empty Portfolio from the Portfolio Library.
The same Add Media flow is available from Portfolio and Talent context, where the known destination is preselected.
Move Or Copy Media
- Move Media changes the item's one Portfolio. Moving directly from one Talent to another is not allowed.
- Copy Media creates an independent Media item and independent stored files. Use Copy when another Talent needs the same asset.
- The protected Showmo Output Portfolio accepts generated output only. You can move its Media to another eligible Portfolio for the same Talent or to a System Portfolio.
Download Media
- Open Media > Media Library
- For one stored item, open its action menu and select Download Media. For a group, enter selection mode and choose the Media on the current page.
- Select Download Selected Media for the exact group you selected, or open a Talent or Portfolio action that offers its complete collection.
- Review the resolved total, stored-file count, estimated size, and embedded omissions
- Enter a ZIP Filename, then select Create ZIP
Page selection is exact. Download Selected Media does not expand to other pages. Talent and Portfolio actions include their complete readable scope, even when more items exist beyond the current page. For the full scope list, see Media.
Open Media > Exports to follow progress, review the manifest, cancel an active request, retry an eligible failure, or download a ready ZIP. Ready and partially ready ZIPs expire 24 hours after completion. The requester receives a private completion notification, while the shared Activity Log records the request, its readable scope, and the number of Media requested.
Embedded videos stay outside the ZIP. Their title, provider, original link, and omission reason appear in the manifest.
Delete Media Or A Portfolio
- Delete Media permanently removes the item and schedules cleanup for its owned stored files.
- Deleting a user-managed Portfolio also deletes all Media it contains.
- Before Portfolio deletion, NowRep shows Board, Package, Site, and idle Showmo source assignments that will be detached. Active Showmo work, cleanup locks, protected managed Portfolios, missing permission, or stale review can block confirmation.
- Default Portfolio and Showmo Output shells are protected from direct deletion. Canonical Talent cleanup owns their removal.
Bulk deletion proceeds only when every selected item is eligible, so a blocked item cannot leave the rest of the selection partially deleted. Always review the exact Media, Portfolio, and public-assignment counts before continuing.
In Archived, you can enter bulk selection and delete eligible Media from the current page. This mode offers deletion only. Media already in Pending Cleanup cannot be selected, and archived Showmo Media remains part of its Talent cleanup rather than this maintenance action.
